Entering an Insurance Adjustment

Do you participate with insurance carriers that require you to offset remaining balances that are not covered by them? Or do you sometimes receive overpayments from carriers? If so, you can offset the balances by assigning “write-off” or “refund” adjustments, respectively, to your patients’ Ledgers.

Additional Tips

  • For the first method, you must make a payment on an insurance claim. To learn more about making payments, refer to the Mastery Tracks topic Posting an Insurance Payment.
  • As a third method, you can also enter an adjustment to the Ledger by clicking Transaction > Enter Adjustment and then follow steps 3 to 9 of Method Two. To learn more, review the Mastery Tracks topic Posting an Adjustment. However, by using this method, the adjustment will not be linked to the original claim.
  • When selecting Write-Off in the Enter Adjustment box, if you select “$,” the dollar amount in the Total Amount field will be the difference between the Total Amount Billed and the Total Amount Paid. If you select “%,” you can enter a number for the percentage to be applied to the Total Amount, and the resulting dollar amount will automatically display. Note: You can change the Total Amount if needed; however, it’s usually best to not enter an amount that’s more than the displayed Total Amount.
  • When selecting Refund in the Enter Adjustment box, the “$” is your only option, and you must enter the Total Amount that you want to be charged back to the account.

  • You can set up Dentrix to automatically display your preferred Write-Off and Refund adjustment types to speed up entering insurance adjustments, so you won’t have to search through a list each time you apply these adjustments.
