Entering Batch Insurance Payments

Insurance companies frequently send a single payment that covers multiple claims and multiple patients. With the Ledger’s Batch Insurance Payment option, you can quickly and easily post these payments to their respective claims and patients, without having to open each patient’s claim individually.

Additional Tips

  • For your convenience when depositing money into your bank, the carrier’s Bank/Branch # will print on the Dentrix deposit slip.
  • If the payment is an electronic payment, sometimes it’s an “electronic check,” which should have a Check # and Bank/Branch #; or, it may simply have a Reference #, which you can enter in place of the Check #.
  • You can select several carriers at once. For instance, select the first American West Life carrier in the list, hold down the Shift Key and select the last one in the list. Click OK, and all open claims for American West Life will be displayed in the Pending Claims list.
  • If not all procedures on a claim are paid for by an insurance payment, as noted on the ERA, you can split the claim into separate claims — one for the paid procedure(s) and the other for the unpaid procedure(s). When the payment arrives for the unpaid claim, you can pay for it then. For help with splitting a claim, review the Mastery Tracks topic Splitting a Primary Insurance Claim.
  • After you’ve finished entering payments, you may want to generate billing statements to inform your patients of the procedures that your insurance paid for. To do so, select the Generate Statements button and select an appropriate function.
  • When you’re finished with an ERA, the Paid Amount Posted should match the Insurance Payment Amount, as the Batch Insurance Payment feature automatically cross-checks your payments for entry errors. If the amounts don’t match, a warning message will notify you of the discrepancy, from which you can find and correct the mistake. Or, click Yes to save the current batch session and post additional claims at another time.
  • To open a patient’s claim information window, from the Pending Claims list, double-click the claim.
