Correcting Posting Errors on Insurance Claims in History

Have you ever received a payment for a claim and mistakenly posted it to the wrong patient and claim? If the transaction has closed, the claim and payment are locked with a “history” status, which means that you cannot change or delete it. So, what can you do to correct this problem? You can use several tasks in Dentrix to make it right!

Additional Tips

  • If a write-off adjustment was entered as part of the original claim’s payment, you must also make a charge adjustment of the same amount to zero it out.
  • Regarding the invalidate procedures section: if more than one provider performed procedures associated with this claim, make a note of the procedures and providers that performed them so you can make the correct adjustments for the procedure fees in the adjusting fees section.
  • When a transaction is invalidated, a plus sign (+) in the Ledger’s Transaction Flags column indicates that the procedure has been invalidated.
  • You can use the invalidated sign (+) to identify those invalidated procedure fees that you need to credit to the patient’s Ledger (refer to the adjust the fees section).
  • To quickly identify all the transactions (procedures, claims, payments, adjustments, etc.) that are associated with the incorrect payment, in the Ledger, select the claim or payment (or any of its associated procedures) and click View > Show Transaction Links. All related transactions will be highlighted.
  • After the error is corrected, the incorrectly paid claim will still display as received (Rec’d) in the patient’s Ledger; however, it will not appear in the Insurance Aging Report for tracking purposes.
  • Generally Accepted Accounting Principles (GAAP) state that once you enter an item into a ledger, you can only correct the error by entering an offsetting adjustment for it. To comply with GAAP, Dentrix locks out changes to claim transactions once the claim is moved into history.
