Adding Files to the Document Center through Auto File Acquire

There is no longer a need for your “to scan” pile to get out of control. Using the Document Center’s Auto File Acquisition feature, you designate a folder on your computer that you will scan and save documents into regardless of the type of device you use to scan them. If the Document Center is open, the document will be acquired directly to the selected patient, provider, or other selected entity. If the Document Center is closed, the document will be saved to the “Unfiled Documents” folder for you to sort later. You can also copy files (such as graphics, Microsoft Word documents, or PDF files) to that folder, and they will import directly to the Document Center.

Additional Tips

  • Any scanner will work with Dentrix. Set the scanner to scan files into an import folder on your computer. DO NOT create an import folder on a shared network. Also, make sure that the folder is empty.
  • If you haven’t previously set up the Auto File Acquisition feature in Dentrix, when you open the Document Center, you will receive a message asking if you want to set it up.
  • If you don’t want to set the document type, description, and orientation every time you scan a file, select Acquire without displaying Document Information. Documents will automatically be assigned the settings from the Setup Acquisition Method Defaults dialog box.
  • When selecting the Set Default Scanner Import Folder in the setup area, the folder must be empty.
  • If you have the Document Center open and a patient selected when you add a document to the default scanner import folder, the document will be added to the selected patient with the default information you specified. If a document is added to the import folder while the Document Center is closed, the file will be added to the Unfiled Documents folder.

  1. Switch to the Dentrix demo database.
    (Skip this step if you are using the Dentrix Learning Edition software.)
  2. Create a folder on your computer titled “Scanned Files.” Set this folder as your scanner’s default import folder.
  3. Use the following information to set the Setup Acquisition Method Defaults settings:
    • Document Type: Patient Treatment
    • Description Scans of paper charts
    • Orientation: No Orientation
    • Acquire without displaying Document Information: Deselect
    • Set Default Scanner Import Folder: C:\Desktop\Scanned Files
    • Combine Images Created within: 20 seconds
