Joining Insurance Plans

Have you ever found duplicate or obsolete insurance plans in your Dentrix database? A duplicate plan might have occurred if a staff member entered one plan as “Delta Dental of Washington” while another worker entered “Washington Delta Dental.” Dentrix can “join” the plans, which consolidates the two plans into a single plan while keeping all assigned patient information intact.

Additional Tips

  • Before joining insurance plans, you MUST close all Dentrix modules on every computer in your practice; otherwise, you risk corrupting your database. Once you have closed them, open the Office Manager on a single computer and join the plans.
  • When you join plans, all subscribers on the “original” plan will be assigned to the “destination” plan. The destination plan will still exist in the Dentrix database. If you need to remove the original plan, review the Dentrix Mastery topic Deleting an Insurance Plan.
  • You can also join plans to assign a new plan to your patients. For example, a major employer in your area changes from one carrier to another. Use Join Plans to select the old plan as the original plan and the new plan as the destination plan. When you join the plans, all patients assigned to the original plan will have their insurance plan switched to the new plan, in their Family File.
  • The Subscriber’s Employer must match Insurance Plan Employer option is only available if the Employer-based option is selected.
  • A message appears after the “join” if no subscribers matching the criteria associated with the original insurance plan exist. Review the message and click Yes.

  1. Switch to the Dentrix demo database.
    (Skip this step if you are using the Dentrix Learning Edition software.)
  2. If needed, enter a new insurance plan with different information that’s similar to another plan already in your system.
  3. Assign the new coverage to one or more patients. To do so, refer to the Dentrix Mastery topic, Assigning Primary Insurance to a Patient.
  4. Join the two similar plans.
