Creating the Collections Manager View

Some patients will not remember to pay for treatment unless you remind them to do so. The Dentrix Collections Manager gives you an efficient way to view outstanding accounts and then act on the information. But first, you must set up the Collections Manager to display the collections information that you need, like aged balances, missed payment agreement payments, and outstanding insurance claims. Then, you can generate the Collections Manager List and use it to contact your patients and encourage them to send their payments.

Additional Tips

  • The Collections Manager List is similar to the Ledger’s Aging Report; however, this list can also include a unique option to locate patients by their insurance minimum days past due for over 0-, 30-, 60-, or 90-days past due. Select one of these “days past due” in the Ins Min Days Past Due group box.
  • If the list does not include accounts you expected to see, you’ve probably added a filter that excludes those accounts. Re-check your selections to ensure that you have selected the options that you want.
  • Dentrix excludes accounts that have outstanding insurance claims as long as the guarantor portion of the balance is less than the amount specified in the If Patient Portion Less Than text box. The default amount is $20.00, but you can change it as needed.
  • You can select up to 10 providers at a time. But if you have more than 10, you should view the list by “All” Providers or in groups of 10.
  • You can select up to 10 billing types at a time. But if you have more than 10, you should view the list by “All” Billing Types or in groups of 10.
  • If you select Show Totals, only those columns that include dollar amounts will display in the totals table.
  • Selections made in the Collections Manager View dialog box will be remembered on the workstation where the selections were made and remain unchanged the next time you reopen the manager.

  1. Switch to the Dentrix demo database.
    (Skip this step if you are using the Dentrix Learning Edition software.)
  2. Manipulate the parameters in the Collections Manager View setup box until you generate a list of guarantors in the Collections Manager List. Once your list is populated with guarantors, click View Setup and add and/or remove columns that you want or don’t want to be displayed in the list.
