Managing Guarantor Notes

Some accounts have unique payment situations. For example, a student’s bills are paid by a parent, you only accept cash for accounts with poor collections, or the doctor created a unique payment agreement with a patient. For these situations, you can add guarantor notes explaining such financial conditions.

Additional Tips

  • If a guarantor does not have an account or a billing statement note, the Guarantor Notes toolbar button is grayed out. When either note is created, the button is colored in.
  • You can enter guarantor notes while viewing any member of a guarantor’s family.
  • Guarantor notes are accessible from the Ledger, the Family File, and the Appointment Book.
  • If you need to edit an existing note, select it and make your changes. Also, you can enter more than one note if needed. To delete an existing note, select it and click Clear.
  • Guarantor notes can be printed on the Aging Report, the Collections Manager List, the Patient Visit Form, and the Patient Notes Report. Also, the Payment Agreement Manager will display a symbol for each account that has a guarantor note.
