Generating Billing Statements

If you’re like most practices, you send billing statements to patients who owe you for services rendered. Billing statements provide a record of the financial transactions for a patient and most often has an outstanding balance. You should generate billing statements at least monthly (and possibly more often).

Additional Tips

  • You can generate billing statements any day of the month; however, as a best practice, you should generate them about the same day each month.
  • If you want to include transactions from a previous month, enter the beginning date in the Balance Forward Date field.
  • If you are starting in the Ledger, get to the Office Manager by clicking the File menu, selecting Switch to, then selecting Office Manager.
  • If a patient has a note entered in the Billing Statement Note group box of the Guarantor Notes dialog box, that note overrides the notes in the Statement Message field of the Billing Statements dialog box.
  • The If Not Billed Since option is useful if your office prints a statement when you receive an insurance payment or if your office sends statements more than once a month.
  • You can use “aging as of the last closed month” to determine whether Dentrix created a statement when you selected the Only Bill Accounts Aging option.

  2. To complete this exercise, you may need to post complete a procedure in the Ledger.
  3. Use the following options to generate billing statements:
    • Set the balance forward date to two months ago.
    • Create a bill for patients who owe more than $5.00.
    • Do not include credit balances on the statements.
    • Include procedures with a claim pending and print the dental insurance estimate on the statement.
    • Print the account aging on the statement.
